Agency History

The Financial Management department manages the County’s financial resources. This includes establishing, operating and maintaining accounting (payables, receivables, revenue) systems, controls and procedures; financial planning; reporting, preparing budgets and budget submissions; managing funds, allocations and revenue from sales and investments. It also includes the monitoring and analysis of capital assets. Two functions included in the Financial Management department are Information Management and Technology, and Taxation. Financial Management files are identified with the code FN.

Scope and Content

The sous-fonds consists of financial statements from 1932-1991, including those of the predecessors of the County: the M.D. of Grande Prairie No. 739, the M.D. of Bear Lake No. 740, the M.D. of Grande Prairie No. 127, the Village of Clairmont, the Grande Prairie School Division No. 14, and two related organizations, Pioneer Lodge (1955) and East Smoky School Division 16 (1949). There are also Annual Reports for the County from 1956-1982; a collection of Alberta Gazettes, from 1937 to 1981, listing properties for tax sales in the Municipal Districts of Bear Lake and Grande Prairie and the County of Grande Prairie No. 1; and a series of over-sized Debenture certificates issued in 1950-1951.

The series consists of financial statements from the M.D. of Bear Lake No. 740 (1932-1943), the M.D. of Grande Prairie No. 739 (1942-1949), Grande Prairie School District No. 14 (11938-1950), the Village of Clairmont (1944-1945), the M.D. of Grande Prairie No. 127 (1946, 1950), Pioneer Lodge (1955), and annually from the County of Grande Prairie (1951-1991).

The series consists of annual reports for the County of Grande Prairie from 1956 to 1982.

Series 306.03Taxation. -- 1937-1981. -- 16 cm of textual records.

Taxation—preparing and sending annual tax notices for assessed properties, parcels of land, condominium units, strata space, and local improvements; establishing and maintaining tax installment agreements; issuing tax certificates; applying to Municipal Affairs for grants in place of taxes; advertising penalties and recovering taxes. Both property and mobile home taxes.

The series consists of a collection of Alberta Gazettes, from 1937 to 1981, listing properties for tax sales in the Municipal Districts of Bear Lake and Grande Prairie and the County of Grande Prairie No. 1.

The series consists of over-sized debenture certificates issued by the County of Grande Prairie under By-law 1-50.

Series 306.05Information Management and technology. -- n.d..

The department of Information Management and Technology manages the County’s data, information resources and records and applying information and communications technology to support the business needs of the County where possible. It includes creating, capturing, coding, classifying, indexing, storing, retrieving and disposing of records and developing strategies to manage records (active, semi-active, inactive and archival), forms, reports, and directives. It also includes the acquisition, control and disposal of library and other information products, items kept for reference purposes, and the provision of service to internal and external customers, based on information resources. Data and metadata administration and Freedom of Information and Protection of Privacy (FOIP) are also included in this function. Also includes communications systems such as video-conferencing, voice mail and electronic mail and the technical aspects of the internet, intranet and websites.
